Agency Performance Elevated Meetings

At its core, an Agency Performance Elevated Meeting is an opportunity for individual department's leadership to meet regularly with members of the Governor's Senior Staff (Deputy Chief of Staff, Budget Director, and State Planning Coordinator). The purpose of the meeting is to share information in a way that will help the agency achieve results.

In order to facilitate a learning conversation, the topics of these meetings are based in quantitative data. It is an opportunity for an agency to show how activities lead to results. The meetings are opportunities to discuss expectations and obstacles to success.

Implementation of these meetings will result in decisions that are supported by a partnership between the Governor's Office and the Department. It is anticipated that the return on the investment of the time spent in these strategic conversations will be substantial.

Sample Agenda

An Agency Performance Elevated meeting involves a discussion about an organization's fundamental mission, its strategy, and the indicators of the success of that strategy. A sample agenda follows:

  • Welcome (5min) : Senior Staff welcomes participants.
  • Agency Overview (10-15min) : The Department presents its mission and articulates its strategy to accomplish it. They identify the desired outcome, and also might explain their role and relationship with other stakeholders.
  • Agency Performance (15min) : The Department then presents analytical measures that illustrate the state's impact on the desired outcome. (GOPB staff works with the Department to develop this information prior to the meeting).
  • Discussion (10-15min) : Everyone at the table then has an opportunity to discuss ways to realign strategy, solve problems, etc. GOPB Management Staff records the decisions made.

Logistics

Format: Materials for the meeting will be compiled by the department and GOPB Management Staff prior to the meeting. Materials will be presented in a consistent format in order to be useful to future strategic and enterprise planning efforts. The initial meetings will be held at the Department's offices. Future meetings will be held in the Governor's Boardroom. All meetings will be closed to the media because of the sensitive nature of the discussion (personnel, etc).

Schedule: The intent is to have each agency participate in a meeting three times per year. Meetings are likely to last for 1hr.
